How information is used when you turn everyday details into calendar events, and the choices you have along the way.

1. Who we are
Snapd is created and operated by Atlas-James, based in Kettering, Northamptonshire, United Kingdom. In this policy, “we”, “us” and “our” mean Atlas-James. This policy applies to the Snapd mobile application and website.

2. Information you provide
Images and text. Photos and selected images are sent to our processing service to extract event details using AI. Raw scan images are discarded after processing and are not permanently stored in our database, except when you separately choose to share an image with feedback. Your device may hold temporary image data during a scan.
Voice input. Web Speech API or native mobile speech recognition converts voice input to text in real time. We do not store voice recordings. The transcribed text is sent to our AI service to extract events.
Accounts. We collect the identifiers needed to sign you in and provide your account, such as your email address and a sign-in provider’s user identifier.
Saved events. We store titles, dates, times, locations and notes so that saved events appear in your calendar. Personal notes attached to calendar months are stored privately for your account.
Shared calendars. We store calendar names and colours, membership information, invited members’ email addresses and the events in those calendars. Members can see information according to their owner, editor or viewer role.
Business sharing. Event links and QR codes require us to store the event details being shared. We may record scan activity, such as timestamps and whether an event was added.
3. Feedback and optional images
When you tell us whether an extraction was correct, a positive response records a vote and limited technical information without storing an image. A negative response also records the AI output shown to you, which can contain event text. This context is visible to the developer reviewing the issue and is deleted once a fix is deployed.
You can separately choose to share the original image with negative feedback. We store it securely solely to diagnose and improve extraction accuracy, and automatically delete it after 90 days. Sharing the image is optional: you can give feedback without it.
4. Usage, purchases and referrals
Usage and diagnostics. We may collect technical and usage information to operate, protect and improve Snapd. The web version uses Vercel Analytics for anonymised, aggregate usage information.
Purchases. Apple App Store and Google Play handle mobile subscriptions and credit purchases. RevenueCat may manage purchase entitlements. We receive the status needed to unlock paid features; we do not collect or store your payment card details directly.
Referrals. If you participate, we keep your account’s referral code, referral sign-ups and relevant purchase activity, reward transactions and device identifiers used to detect fraud and abuse. These records support the referral programme, rewards and fraud prevention. Device identifiers are anonymised and are not linked to personally identifying information beyond fraud detection purposes.
5. How we use information
We use information to extract and display events, authenticate accounts, run shared calendars and sharing features, deliver reminders, manage purchases and referrals, answer support requests and keep Snapd working securely.
We also use information to diagnose issues, understand usage, prevent fraud or abuse, protect our rights and meet legal obligations. Images voluntarily shared with feedback are used to improve AI extraction with your consent.
6. AI and service providers
Snapd uses service providers for the following functions:
- AI extraction: images, transcribed text and relevant context, such as locale, date-format preferences and optional focus filters, pass through our servers for AI processing.
- Speech recognition: your browser or device’s speech recognition converts voice to text.
- Authentication and storage: providers support sign-in and store account details, events, calendars, sharing records and feedback.
- Maps: mapping services supply address suggestions and static map images when you add event locations.
- Notifications: notification providers deliver reminders and shared-calendar updates. We store a device token for delivery.
- Purchases: Apple, Google and, where used, RevenueCat process purchases or manage entitlements.
- Analytics: analytics services help us understand aggregate usage.
These providers have their own privacy policies. Calendar import and export use .ics files generated locally; this process does not directly access or synchronise with your external calendar applications.
7. Device permissions
Snapd may ask for camera access to capture event material, photo-library access to select an image, microphone access for voice input, and notification permission for reminders and shared-calendar updates.
You can change these permissions in your device settings. Notifications are optional. Voice recordings are processed in real time and are not permanently stored by Snapd.
9. Retention and security
- Scan images: discarded after processing, except optional feedback images, which are automatically deleted after 90 days.
- Accounts: retained while active and for a reasonable period afterwards where needed to meet legal obligations.
- Saved events: retained until you delete them or close your account, subject to operational or legal requirements.
- Feedback: retained as needed for service quality and abuse prevention, then deleted or anonymised as appropriate. The specific deletion rules for issue context and shared images are explained above.
- Android widgets: event information is stored locally on the device and updated when events change.
Safeguards include encrypted connections using TLS, secure authentication and access controls.
10. Your privacy rights
Depending on your location and the applicable law, you may request access to your information, correction, erasure, restriction of processing or a portable copy. You may object to processing based on legitimate interests and withdraw consent where we rely on it.
Send requests to hello@atlas-james.com. We respond within the period required by applicable law, normally one month for UK data-protection requests. These rights can depend on the circumstances and the reason information is being used.
You can raise a concern with the UK Information Commissioner’s Office (ICO). If you are in the European Economic Area, you can also complain to your local data-protection authority.
11. Delete your account and data
To request deletion of your Snapd account and associated data, email hello@atlas-james.com and say that your request relates to Snapd.
We delete account credentials and profile information, saved events and calendar data, remove share links and QR codes you created, and delete or anonymise feedback linked to your account. Some records may need to be kept to meet legal requirements or for legitimate purposes such as fraud prevention.
12. Children’s privacy
Snapd is not intended for children under 13, or below the applicable age of digital consent where they live. We do not knowingly collect personal information from children.
If you believe a child has provided personal information without parental consent, contact hello@atlas-james.com. When we become aware of this, we take steps to delete the information promptly.
13. International processing
Information may be processed outside your country, including in countries with different data-protection laws. When information is transferred internationally, we take steps to put appropriate safeguards in place in accordance with applicable law.
14. Changes and contact
We may update this policy as Snapd develops. We publish changes here and update the date above. Significant changes may also be announced in the app.
