1. Who we are and how to contact us
Atlas-James is the trading name of ATLAS JAMES LTD, company number 17459306, based in Kettering, Northamptonshire, UK. In this policy, “we”, “us” and “our” mean ATLAS JAMES LTD. We are responsible for deciding how the personal information described in this policy is used (the “data controller”).

2. What this policy covers
This policy covers our business website, enquiries, project estimates, client relationships and payments for our services. It applies to prospective clients, clients and people who contact us on behalf of an organisation.
“Personal information” means information that identifies you or can be linked to you. References to data protection law include the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018 and applicable privacy and electronic communications rules, as amended.
Our apps have their own notices: Snapd privacy policy and Tendi privacy notice. Where we handle personal information on a client’s instructions while developing or supporting their software, the client’s privacy notice and our agreement with them govern that processing.
Links to other websites are covered by those websites’ own privacy notices. Please read them before providing personal information.
3. Information we collect
- Contact and enquiry details: your name, email address, company name, contact details you choose to share, messages and correspondence.
- Project information: your requirements, selected services, budget or timing information you provide, project briefs, estimates and support requests.
- Client and payment records: billing details, agreements, invoices, transaction references, payment status and correspondence about purchases or refunds.
- Technical information: IP address, browser and device information, request times and security or error information processed by our hosting and security providers when you use the site.
We receive information directly from you, from colleagues who involve you in a project, and from payment and service providers when they deliver services for us. Please only include information needed for your enquiry and avoid sending passwords or sensitive personal records through the contact form.
Providing enquiry information is voluntary, but we need your contact details to reply. We need relevant project and billing details to enter into and fulfil an agreement and meet accounting obligations; without them, we may be unable to provide the service.
4. How and why we use information
- Enquiries, quotes and services: to discuss requirements, prepare proposals and deliver agreed work. Our basis is taking steps at your request before a contract or performing our contract with you. For business contacts acting for a company, we rely on our legitimate interest in managing that business relationship.
- Administration and support: to communicate about projects, resolve issues and maintain client relationships, relying on our legitimate interest in running and supporting our business.
- Payments and accounts: to collect payments and manage invoices under our contract or our legitimate interest in administering business purchases, and to keep records required by tax and accounting law.
- Security and disputes: to prevent spam, protect our website and systems, investigate misuse and establish or defend legal claims, relying on our legitimate interests in security and protecting our business and users.
- Optional communications: where we ask for consent, we use information for the purpose explained at the time. You can withdraw that consent by emailing us. Withdrawal does not affect earlier lawful use.
Submitting an enquiry does not subscribe you to a newsletter. Our quote builder produces an indicative estimate from your project choices; our team confirms scope and pricing. We do not use it to make decisions with legal or similarly significant effects on you.
5. Payments through Stripe
When you pay us through Stripe, Stripe processes your payment details, including payment method, billing and transaction information. We receive information needed to manage the purchase, such as your billing details, payment status, transaction reference and limited payment-method details. We do not receive or store your full card number or card security code through this payment flow.
Stripe also processes information for its own purposes, including fraud prevention and meeting legal obligations. Read Stripe’s privacy policy for details of its processing and your choices.
7. International processing
Some service providers operate internationally, so information may be processed outside the United Kingdom, including in the United States. Where a transfer requires protection under UK data protection law, we rely on an applicable UK adequacy arrangement or appropriate contractual safeguards, such as the UK International Data Transfer Agreement or UK Addendum to the EU standard contractual clauses.

9. How long we keep information
We keep personal information only for as long as needed for the purpose it was collected. We decide this by considering:
- Whether an enquiry is still active or a follow-up is reasonably expected.
- The duration of a client relationship, project, warranty or support arrangement.
- Record-keeping periods required by tax and accounting law, and the time needed to resolve disputes or legal claims.
- The time needed to investigate security incidents, errors or misuse.
When information is no longer needed, we delete it or anonymise it. Where copies remain in backups, they are retained until those backups are replaced under the applicable backup cycle.
10. Keeping information secure
We use measures appropriate to the information and the risks, including encrypted website connections, protected access to business systems and form security checks. Access is limited to people and providers who need it for their work. No online service can guarantee complete security.
11. Your privacy rights
Depending on the circumstances and our basis for using information, you can ask to access or correct it, have it deleted, restrict its use, or receive information you provided in a portable format. Where we rely on consent, you can withdraw it at any time.
Your right to object: you can object to processing based on our legitimate interests because of your particular situation. You can object to use of your information for direct marketing at any time.
To make a request, email hello@atlas-james.com. We may need information to verify your identity. We normally respond within one month; if the law allows more time, we will explain why. Some rights have exceptions, including where records must be kept to meet legal obligations.
You can complain to the UK Information Commissioner’s Office (ICO) at ico.org.uk/make-a-complaint. You can contact us first so we can try to resolve your concern, but you do not have to do so before approaching the ICO.
12. Changes to this policy
We will update this page when our practices change and show the latest revision date below the title. Where a change materially affects how we use your information, we will provide an additional notice where appropriate.
